Information for Exhibitors

Dear ladies and gentlemen,

We are holding the next European Taxi Fair on 7th and 8th November 2008. The German Taxi and Hire-Car Association e.V. (BZP) is holding its autumn conference on 6th November 2008 in the Pullman Cologne (formerly Dorint Kongress-Hotel Cologne) in Cologne, ending with a final meeting in trade fair hall 2.2 on 8th November.

In 2006 100 exhibitors from nine European countries and about 12,000 visitors attended the fair.Most of the stand space was booked out long before the closing date.

In 2008 the fair will take place in hall 4.1, as the exhibition space available in the Rheinparkhallen is no longer sufficient and also because the rebuilding work in halls 1-5 has led to a considerable reduction in the parking space. Above hall 4 there is a parking deck with space for about 3800 vehicles. The hall is built on one level and has several points of access for vehicles, which makes the delivery of exhibits easier. All exhibitors will be in a single hall, and there will be only one point of entrance to this hall. The final meeting of the German Taxi and Hire-Car Association on 8th November 2008 will be very close to the hall.

A invitation brochure to the European Taxi Fair will be produced and distributed throughout Europe with a guaranteed circulation of 50,000 copies. For the third time a brochure of invitation will be issued jointly with the publisher Verlag Heinrich Vogel. The brochure will be delivered to each taxi and hire-car owner in Germany in the magazine Taxi. In addition the European Taxi Fair has an internet presence. In the brochure and the Internet you can advertise.

In order to make the event more attractive, there will be a prize draw for visitors to the fair on both days. We invite you to participate in the holding of this event as an exhibitor or by advertising in our invitation brochure or internet presence or by contributing to the tombola. All companies that donate tombola prizes will be mentioned in the invitation brochure and internet. We would also be pleased to hear from sponsors who could support the autumn conference of the BZP. Prices for Exhibitors 2008:

The above price increases by € 10,50 per m2 if you rent your stand space from us including a fitted carpet and disposal of the carpet. The smallest size of stand which can be rented is 4 m x 4 m = 16 m2! 

The booking of stand space obliges the exhibitor to put up a stand or at the least to fit his stand space with carpet and to dispose of the carpet at his own cost. The maximum permitted building height in hall 4.1 is 4.50 meters. Construction plans for the stands must be submitted for our approval by 14th September 2008 at the latest, and if necessary must be coordinated with neighbouring stands.

Standard stands can be rented directly from us. The standard format is 4 m deep and at least 4 m wide. The width can be increased by the meter. These stands are fitted with carpet, have a 3 kW electricity connection with a socket and are lit by at least 4 spotlights. The wall height is 2.5 m, and there is a 22 cm high panel on the front of the stand which you can use for advertising. Any parts of the stand which extend beyond the stand floor area require approval by KölnKongress and the organisor. The stand price consists of the above prices per m2 plus € 47,50 per m2 for the stand itself, for corner stands € 58,00.  The price includes cleaning after the first day of the fair. The exhibitor is responsible for disposal of refuse from the stand; if this is not done, disposal costs will be charged to the exhibitor.

The stands numbered B 25 to B 36, B 46 to B 54 and C 9, C 23, C 25 are standard stands – in this parts of the hall no stands of other sizes are available.

All exhibitors will receive chairs and standard sized tables (height 72cm, depth 72cm, and width 125cm) if so desired. These are included in the price and will be made available at various locations in the exhibition area, where exhibitors can collect them.

If you would like to have your own individual stand constructed or special equipment for the stand you have rented, please contact our contractors. We will send you a catalogue about the special equipment available (cupboards, desks, refrigerators etc.) as well as all necessary services (telephones, security, cleaning, freight transport to the fair etc.) along with the details about the erection of the stands by August 2008. 

All prices above are net prices, to which VAT at the rate applicable on the date of invoicing will be added.

Closing date for fair stands and tombola is 30th June 2008.

Use of the stand that has been rented is permitted solely for the exhibitor. Joint use with other exhibitors is allowed only after written application with an explanation and approval by FP Nordrhein. When you reserve a stand, 25% of the total amount is due in advance within four weeks of your receipt of our advance invoice. If payment has not been received by this time, we reserve the right to reallocate the stand space to other applicants. In case of withdrawal by exhibitors from the time of ordering up to 30th June 2008, this advance payment will be retained to cover administrative costs. The remaining amount of 75% is due on 30th Ausgust 2008. Exhibitors who withdraw between 1st July and 30th September 2008 will be charged 50% of the stand rental price; after 30th September 2008 the full price will be charged. 

The court of jurisdiction is Langenfeld, Germany. The date for stand erection is 6th November 2008. Erection earlier than this is possible only after application to and approval by KölnKongress and the fair organiser.
